Bylaws Article VI, Section 2: Voter Registry and Slate Preparation
The Nominating Committee shall maintain a list of Fellowship members eligible to vote or seek office or serve on the Board of Trustees and the Nominating Committee based solely upon the criteria in Articles III, VI, VII, and VIII. The Nominating Committee shall be responsible for the slate of the Board of Trustees (including Secretary and Treasurer) presented for a vote at the following annual Fellowship business meeting. They shall also be responsible for the slate for the next year's Nominating Committee.
Composition
Bylaws Article VI, Section 1: Term of Service and Term Limits
A Nominating Committee of three voting members in good standing shall be elected at the annual Fellowship business meeting. The term of service coincides with UUFSM's fiscal year and lasts two (2) years; members may not be elected to serve more than two (2) consecutive terms. Two members shall be elected in even years; one member shall be elected in odd years. No one may serve concurrently on the Board of Trustees and on the Nominating Committee.
General Responsibilities
- Send monthly reports of any challenges or significant changes to the UU Matters Board Liaison.
- When appropriate, publicize activities by posting news, announcements, and events online.
- Submit a budget proposal to Treasurer [at] uufsm [dot] org by 1 February. (Probable expenses include copying; this can be charged to the Communications Budget)
- Submit a yearly report to Secretary [at] uufsm [dot] org or post online by 1 May. This should include challenges and changes, highlights and kudos, and any plans for the upcoming year.
Responsibilities for Membership List
- Create and maintain a list of members who are eligible to vote (member in good standing who has contributed either money or service in the past year) and to be elected to the Board or the Nominating Committee. This list should include name, date of becoming a member, time spent in office, and the year of their most recent term on the Board and Nominating Committee. You can use the online database of members to help with this.
- Place a current copy of the list in the UUFSM Reference Book so members may review it.
- Send a current copy of this list to Board [at] uufsm [dot] org
- New members shall be added as soon as they join. We have two or three new member ceremonies scheduled throughout the year, though occasionally people join at other times.
- Inactive Members shall be removed at least twice a year, in January/February and in July. In those months, the Members and Friends Team will send you a list of all changes in membership status. Update the Membership Roll, share it with the Board and Communications, and place a copy in the UUFSM Reference Book.
Responsibilities for Finding Candidates
Bylaws Article VI, Section 3: Candidate Solicitation and Eligibility Verification
The Team shall solicit and accept nominations from members. They shall determine each candidate's willingness and eligibility to serve, in accordance with all restrictions in these Bylaws, prior to entering the candidate's name into nomination. Nominations to the Board or to the Nominating Committee will also be accepted from the floor at a business meeting, subject to the candidate's eligibility and willingness.
- Elections are held in May or June, so finding candidates should probably get underway in February, as soon as the Membership Roll is updated.
- All eligible members should be asked if they want to serve, and in what capacity.
- Phone or face-to-face discussions are preferred over email when asking someone if they will serve.
- Keeping notes about people's preferences will make this easier from year to year. (Someone who says, "I hate numbers" is not likely to ever want to be Treasurer.) However, things change, so people may become interested in a job that they didn't want earlier. Ask.
- It would be very helpful to the Board to know if people are interested in other leadership roles (Committee Chair or Team Leader), so while asking people if they will run for an elected position, please ask about that, too, and send any positive results to the Board.
- Send the final slate of candidates and the offices and terms they are willing to serve to the Board [at] uufsm [dot] org before the 2nd Sunday in May for inclusion in the Meeting Announcement.
- A member of the Nominating Committee should attend elections to present the slate and to rule on the eligibility of any nominations from the floor, so bring the list of eligible members as a reference.
- If someone loses an election, it would be nice to send them a thank-you card for running.
